Grounded Outdoor Retreats Contract

I, the undersigned participant, hereby acknowledge and agree to the following terms and conditions as a participant in the Grounded Outdoor Retreats organized by Alauna Roby LLC:

 

Terms of Payment: I agree to make payments based on my payment plan, and be paid in full for my chosen accommodation option no later than 30 days prior to the retreat. All payments will be made through the secure platform WeTravel. Failure to make all payments by this deadline will result in the cancellation of my reservation with no refund. 

 

Cancelation Policy: All deposits are non-refundable and non-transferable for any reason regardless of cancellation date. 

 

I understand that I have until 61 days before the retreat start date to request a full refund of any payments made, excluding the non-refundable and non-transferable deposit. 

 

If the cancellation is made 60 days or less before the retreat start date, I understand that all payments including the deposit are non-refundable and non-transferable for any reason. 

 

There are NO refunds or transference of payments to other people or other services available for cancellations made 60 days or less before the retreat start date for any reason including, but not limited to: weather, natural disaster, pandemics, acts of terrorism, flight delays or cancellations, health conditions; medical, personal, family, work emergencies; change of mind. This includes all Covid-related cancellations (illness, travel, borders, flight, quarantines, lockdowns, etc).

 

Code of Conduct: I agree to abide by the rules and regulations set forth by the Organizer during the retreat. Any behavior deemed inappropriate or disruptive may result in a warning and/or removal from the retreat without a refund. I also agree to respect quiet hours on the property from 10pm-8am every day.

 

Disclaimers (Food and Accommodation): 

 

Must be 18 years or older to join.

 

Must be female-identifying or Assigned Female at Birth and non-binary to attend this retreat.

 

I understand that accommodation is based upon my selection at checkout and cannot be changed, modified or transferred for any reason once purchased. 

 

If I have any dietary restrictions or allergies I understand that it is my responsibility to notify Grounded Outdoor Retreats of my dietary restrictions or allergies, either in the appropriate section of the spreadsheet or via email up to 30 days prior to the retreat and Grounded Outdoor Retreats will make arrangements to accommodate. If I wait until 30 days or less before the retreat start date to notify Grounded Outdoor Retreats, I understand that Grounded Outdoor Retreats will try their best, but cannot guarantee they will be able to accommodate my dietary restrictions and/or allergies.

 

For people choosing to camp, NO CAMPING GEAR IS PROVIDED. I understand that I must supply my own camping equipment or acceptable camping vehicle. 

 

I understand that camping vehicles are limited to car campers, slide-in truck bed camper or van. No RVs or tow-behind trailers over 18 feet will be allowed to park on the property. 

 

Disclaimers (other):

 

The total cost paid is for one space on the retreat, your choice of accommodation and all activities/meals listed on the itinerary. 

 

Transportation to and from the venue, as well as any additional excursions I wish to make that are not included in the retreat itinerary, is NOT included in the total cost. I understand I am responsible for all of my own transportation.

 

Grounded Outdoor Retreats is not responsible for any unfortunate circumstances that may occur as a result of leaving the venue to explore the surrounding areas during the free time on the retreat. 

 

Grounded Outdoor Retreats is not responsible for lost, stolen, or missing items.

 

Grounded Outdoor Retreats is not responsible for airline cancellations, missed flights, or transportation issues prior to the retreat.

 

All reservations and bookings are first come, first serve.

 

All deposits are non-refundable and non-transferable. 

 

I understand I must pay the total retreat balance in full by 30 days prior to the event start date by using the booking website WeTravel. (CASH IS NOT ACCEPTED UPON ARRIVAL FOR ANY REASON). 

 

I understand I must sign and return Terms & Conditions + Liability Waiver BEFORE I am granted the address of the venue. Failure to sign will result in not receiving the location of the venue with no refund. 

 

I understand that the unauthorized sharing of the venue location with anyone who has not completed their sign up, payments, and signed the Retreat Contract is strictly prohibited. 

 

I understand that upon conclusion of the event, I must vacate the venue property no later than 11am on the end date of the event. I understand that if I do not vacate the venue property by this time, I will be responsible for any late fees charged by the venue property owner.

 

I understand that if I choose to bring my pet to the retreat, there is a pet fee through the venue. I will be responsible for cleaning up after my pet and for any costs associated with any damages to the venue caused by my pet. I also understand that I must also bring proof of my pet's up-to-date vaccinations, as per the requirement of the venue owner. I understand that there will be other animals present along with wildlife in the area, and Grounded Outdoor Retreats reserves the right to ask me to leave the property at any time with no refund if my pet has any behavior problems that put the other guests, pets or wildlife in danger.
